Manage student records and follow-ups

Keep useful coaching context and prepare messages you choose when to send.

Use BirdieYard Coach OS, your coaching workspace, to keep student context, lesson notes, and follow-ups together.

Work with a student record

  1. Open Students and choose the relevant record.

  2. Review the contact and student information before making changes.

  3. Use the lesson log to record the lesson date, location, and focus areas.

  4. Keep information for your own use in Private notes. Use Summary shared with student only for information intended for the student.

Check that you’re working with the correct student, especially when a parent or other contact is associated with more than one golfer. A coaching record isn’t necessarily a separate BirdieYard login.

Prepare a follow-up

  1. Open Follow-ups and add a follow-up.

  2. Choose the student record and due date.

  3. Write a clear subject and message, then save it.

  4. When you’re ready, review the recipient and select Send.

The due date helps you organize your work. Nothing sends just because that date arrives; you choose when to press Send. Follow-ups use email, not SMS.

Keep records accurate

A lesson log is coaching history. Don’t assume that adding a note or log confirms a booking, charges a card, or sends a follow-up. Use the appropriate booking and messaging actions for those tasks.
